Turn on AI tools and how credits work

How a workspace owner turns the AI tools on or off, what happens to your data, who can use them, and how monthly AI credits are counted.

AI tools appear only once a workspace owner has turned them on.

HRjects has five AI drafting tools: Plan builder, Business case drafter, Go/no-go brief, Notes to tasks, Gap finder. They are new. AI can be wrong, which is why every suggestion is reviewed before it is saved and why estimates are labelled.

Turn AI tools on

  1. Open the Settings page of your workspace. You must be an Owner.
  2. Find the AI tools section and press Turn on AI tools.
  3. Read the notice headed Before you turn it on. It says where data goes.
  4. Press Turn on AI tools again to confirm, or Not now to leave them off.

The change is written to the workspace's activity log. If Settings has no AI tools section, the tools are not available on HRjects at the moment.

Turn AI tools off

An Owner can press Turn off AI tools in the same section at any time. The AI buttons disappear for Editors, and nothing more is sent to the AI provider. Items already added to projects stay.

Who can use them

Owners and Editors. Contributors and Guests do not see the AI buttons, because adding a suggestion to a project needs edit rights.

What happens to your data

  • When someone uses an AI tool, what they type or paste and the project details that tool needs are sent to Anthropic, our AI provider, to write the draft. Nothing is sent at any other time.
  • We do not use your content to train AI models. Anthropic processes it under its commercial terms. See Anthropic's terms for how it handles data.
  • The names of the owners of tasks and issues are not sent by the Plan builder, the Business case drafter, the Gap finder or the Go/no-go brief. Notes to tasks sends the text you paste as given.
  • The AI only drafts. Nothing is added to a project until an Owner or Editor reviews it and chooses to add it. What you add is saved under your name in the activity log, through the same checks as a change made by hand.

Do not paste employee records

HRjects is for project information. Do not paste employee records such as pay, ID numbers or health details. Text that looks like employee records is refused before it is sent, and no credits are used. The check looks for several ID numbers in any text you enter and, in Notes to tasks, for rows of names with amounts. It will not catch everything, so please check what you paste.

How credits work

Each use of a tool takes credits from the workspace's monthly allowance.

  • The allowance belongs to the workspace and is shared by its Owners and Editors.
  • It resets on the 1st of each month, by UTC time. Unused credits do not carry over.
  • Credits are returned if a request fails, is cancelled or produces nothing usable.
  • Each person can use the tools 10 times in 10 minutes.
  • The AI tools section of Settings shows how many credits are left this month.

When the month's credits are used up, the tools stop until the 1st. Everything else in HRjects keeps working.
