Invite an outside guest to one project
Give a vendor consultant, contractor or outside tester access to a single project without adding them to your workspace.
A Guest is someone outside your company who needs to work on one project. A vendor's implementation consultant is the usual example. Guests are free on every plan.
What a guest can do
- See the one project they were invited to.
- Change the status of tasks, for example moving their own task to Done.
- Log issues.
What a guest cannot do
- See any other project in your workspace.
- Add, edit or remove tasks.
- Tick gate criteria or readiness items.
- Change the business case, process maps or payroll run results.
- Change the status of an issue after logging it.
- Invite other people.
Invite a guest
- Open your workspace's people settings.
- Enter the guest's email address.
- Choose the Guest role.
- Choose the project they should see.
- Send the invitation.
The guest gets an email with a link. Accepting it takes them to the project. A guest who already has an HRjects account is asked to sign in first. The invitation expires after 7 days and is for the address it was sent to.
Owners and Editors can invite guests.
Give a guest a second project
Send another guest invitation to the same address and choose the other project. Each invitation covers one project.
Remove a guest
Owners and Editors can remove a guest from the project. The guest loses access straight away.
Before you invite a vendor
A guest can see the whole project, including the business case and its cost figures. If your project compares the vendor's price with a competitor's, think about whether that should be visible to them. One way to handle it is to keep the selection work in one project and invite the vendor to a second project that starts after the decision.
