Map a process and turn a gap into a task
Add current-state and future-state steps, flag pain points, log gaps, and create a task from a gap in one click.
The Process maps workspace holds one map for each process. A map has three parts: the current-state steps, the future-state steps beside them, and a list of gaps.
Open or add a map
- Open the project and go to Process maps.
- HR templates start with five named maps to fill in: Hire to onboard, Time off request, Payroll run, Benefits enrollment and Offboarding. The General template starts with one.
- To add another, add a process map, give it a name and choose its workstream.
Write the current state
- On the current-state side, add a step for each thing that happens today. Keep each step to one line: who does what, using what.
- Flag a step as a pain point if it involves re-keying, a manual check, a wait, or a risk of error.
Pain points are counted on the Business case.
Write the future state
On the future-state side, add a step for each thing that should happen in the new system. Describe the outcome you want.
Log gaps
A gap is anything the future state needs that you do not have yet: a configuration, an integration, a data fix, a policy decision or training. Add each one to the map's gap list in a short sentence.
Turn a gap into a task
- Find the gap on the map.
- Choose to create a task from it.
HRjects creates a task named "Close gap:" followed by the gap text. The task goes into To do, in the map's workstream and in the third phase, with a due date at the end of that phase. Open the Tasks board to set the team, owner and date you want.
The gap stays linked to its task, and each gap can have one task. If the task is later removed, the link is cleared and you can create a new one.
Who can do what
Owners and Editors can add and remove maps, steps and gaps, flag pain points, and create tasks from gaps. Contributors and Guests can view the maps.
Good to know
- Maps are step lists. There is no diagram drawing.
- Do not put employee names or personal details in steps. Describe roles, such as "manager" or "payroll specialist".
- An assistant that drafts process maps is planned and not available yet.
