Use the roadmap and phase gates
How phases, gates and exit criteria work, what happens when you tick a criterion, and how to change the go-live date.
The Roadmap shows the project's four phases on a timeline. Each phase ends in a gate. A gate is a short list of exit criteria: things that must be true before the project moves on.
Read the roadmap
- Open the project and go to Roadmap.
- Each phase shows its start and end dates and its exit criteria.
- The Overview shows how far along each phase is and lists open gate criteria under what needs attention.
Tick an exit criterion
- Find the criterion in its phase.
- Tick it when it is true.
HRjects records who ticked it and when. If you untick it, the name and time are cleared. Both actions are written to the project's activity log.
Owners, Editors and Contributors can tick exit criteria. Guests cannot.
Add or remove exit criteria
The criteria that come with a template are a starting point. Owners and Editors can add a criterion to any phase and remove ones that do not apply. Agree the list early, before the phase is under pressure.
The HR templates start with criteria such as:
- Discovery and current state: a current-state map exists for every in-scope process; legacy data sources inventoried.
- Future state and vendor selection: future-state maps signed off by HR, IT and Finance; contract and data terms reviewed by Legal.
- Configuration, migration and integration: payroll rules and time-off accruals configured; security roles and permissions approved.
- Testing, change and go-live: UAT scripts passed; two parallel payroll runs within tolerance; hypercare owner and channel named.
The Enterprise template adds criteria for regional process variations and for sequencing rollout waves by region.
Change the go-live date
Owners and Editors can change the project's go-live date. The Overview's days-to-go-live count uses it.
What gates do not do
A gate does not lock the next phase. You can keep working on later tasks while criteria are open. The point is that everyone can see what is still outstanding and who signed off on what.
Automatic email reminders for open gate criteria are planned and not available yet.
