Save a project as a template
Reuse a project's structure for the next rollout: what is kept, what is cleared, and how to start a project from a saved template.
When a project's structure has worked well, save it as a template. The next rollout starts from your own phases, criteria, tasks and checklists.
Save a template
- Open the project.
- Choose to save it as a template.
- Give the template a name.
Owners and Editors can save templates. The template belongs to the workspace, so other Owners and Editors can use it too. A workspace can hold up to 50 saved templates.
What is kept
- Phases and their exit criteria.
- Tasks, with their workstream, team and phase.
- Process maps, with their steps, pain points and gaps.
- Readiness checklist items and their points.
- Payroll runs, without results.
- Business case cost lines and options, with their figures.
What is cleared
- Every ticked exit criterion, along with who ticked it and when.
- Task statuses, which all go back to To do, and task owners.
- All issues.
- Links between gaps and tasks.
- Ticked readiness items.
- Payroll run results.
- The sponsor decision, which goes back to Pending.
Check the business case figures and process steps before you save. They carry over as they are.
Start a project from a saved template
- Start a new project in the workspace.
- Choose your saved template from the template list.
- Set the go-live date.
HRjects moves the phase dates and task due dates so the project starts today and ends on the new go-live date, keeping the same proportions as the original.
Delete a saved template
Owners and Editors can delete a saved template. Projects already created from it are not affected.
Ideas for templates
- A consultancy's standard rollout for a particular HR system.
- A regional wave you will repeat in each country.
- A yearly event such as open enrollment or a compensation cycle.
