Marketing or sales tool rollout

Use the General project template to roll out a CRM, marketing automation or sales tool with gates, mapped processes and a readiness check.

Rolling out a CRM, a marketing automation platform or a sales engagement tool looks like a software purchase. Most of the effort is somewhere else: agreeing how a lead moves from marketing to sales, cleaning the data, and getting people to use the new tool the same way. HRjects was built for HR rollouts, and the same structure can carry a project like this.

What you would use

Create a project from the General project template. It has four phases, Plan, Design, Build, Launch, each ending in a gate. Workstreams are Planning, Design, Delivery and Communications. Teams are Project lead, Team, Stakeholders and Vendor.

What carries over

  • Business case. List today's yearly costs: current tool subscriptions and the time spent on manual coordination. Compare vendor options on one-time cost and cost per year. HRjects works out saving per year, payback in months and three-year net, and records the sponsor's decision.
  • Roadmap and gates. Write exit criteria that force agreement between teams, such as "Lead stages and handoff rules signed off by Marketing and Sales". Ticking one records who ticked it and when.
  • Tasks. A board with To do, In progress, Blocked and Done, filtered by workstream and team.
  • Process maps. Current-state steps beside future-state steps. One click turns a gap into a task.
  • Issues. A log for testing and the first weeks after launch.
  • Go-live readiness. A weighted checklist with a Go or No-go. Go needs 90% and no open critical issues.

What is not relevant

The HR-specific pieces are not part of the General template: the parallel payroll tracker, the HR workstreams and teams, and the starter HR process library.

A readiness checklist for this kind of rollout

Change the template's checklist to match. Items that suit a CRM or marketing tool: data imported and spot-checked, integrations tested end to end, pipeline and campaign reports reviewed by the people who use them, sales and marketing users trained, support owner named. Give data and integration testing the most points.

Keep customer data out

HRjects holds project information only. Do not paste contact lists, customer records or deal details into tasks or issues. Write "Duplicate accounts found in the import sample" and keep the list in the CRM.

Where another tool is the better choice

HRjects is new and narrow. It has no Gantt chart, no task dependencies, no forms, no automations and no integrations today. Marketing teams that plan campaigns, review creative work and run content calendars need a general work management tool, and HRjects is not trying to be one.
