Check go-live readiness and record parallel payroll runs

How the weighted readiness checklist produces a percentage and a Go or No-go, and how to record parallel payroll results.

The Go-live readiness workspace answers one question: are you ready to switch? It has a weighted checklist and, in HR templates, a parallel payroll tracker.

How the score works

  • Each checklist item has a number of points.
  • The percentage is the points for completed items divided by the total points.
  • The project shows Go when the percentage is 90% or more and both automatic checks pass. Otherwise it shows No-go.

The two automatic checks

Two items cannot be ticked by hand. HRjects works them out from the rest of the project.

  • No open critical issues. Passes when no issue with Critical severity is Open or In progress in the issue log.
  • Parallel payroll runs within tolerance. Passes when every run in the tracker has a result and every result is within its tolerance.

If either check fails, the project shows No-go even if the percentage is above 90%.

Tick checklist items

  1. Open the project and go to Go-live readiness.
  2. Tick each item when it is true and you have the evidence.

Owners, Editors and Contributors can tick items. Each change is written to the project's activity log with the person's name and the time.

Change the checklist

Owners and Editors can add an item with between 1 and 100 points and remove items that do not apply. The HR templates start with items such as UAT scripts passed (20 points), employee data validated against legacy headcount and pay (15), integrations tested end to end (15), and a cutover and rollback plan approved (10). The Enterprise template adds regional privacy and works council sign-offs.

Record a parallel payroll run

  1. Run the same pay period in your old and new systems and compare total net pay. Do this in your payroll systems, outside HRjects.
  2. Work out the variance as a percentage: the difference in net pay divided by the old system's net pay, times 100.
  3. In the payroll tracker, enter that percentage against the run. Use a minus sign if the new system paid less.

Each run has a tolerance of plus or minus 0.1%. A run with a variance of 0.08% is within tolerance. A run with 0.42% is outside it. A run with no result yet counts as not passed.

HR templates start with two runs. Owners and Editors can add more. Owners, Editors and Contributors can record results.

What HRjects stores

Only the variance percentage for each run. Do not enter pay amounts or employee details anywhere in HRjects. The comparison itself stays in your payroll and finance systems.

General projects

Projects from the General template have a readiness checklist with one automatic check, no open critical issues. They do not have payroll runs.
