Invite people and choose their roles

The four roles in HRjects, what each can do, how invitations work, and how to change or remove someone.

Each person in a workspace has one role. The role decides what they can change. HRjects checks it on every request.

Invite someone

  1. Open your workspace's people settings.
  2. Enter the person's email address.
  3. Choose Editor or Contributor. To bring in an outside person for a single project, see inviting a guest.
  4. Send the invitation.

The person gets an email with a link. Opening the link and accepting adds them to the workspace. Someone new to HRjects is signed in straight away and does not need to create an account first. Someone who already has an HRjects account is asked to sign in before accepting.

Rules for invitations

  • Invitations expire after 7 days. You can cancel one before it is accepted and send a new one at any time.
  • An invitation works once and only for the address it was sent to.
  • Owners can invite Editors, Contributors and Guests. Editors can invite Contributors and Guests.

Change someone's role

Owners can change a member's role to Owner, Editor or Contributor. A workspace must always have at least one Owner, so you cannot demote the last one.

Remove someone

Owners can remove any member. Anyone can remove themselves from a workspace. The last Owner cannot leave until someone else is made an Owner.

Picking roles for a rollout

  • Owner: the HR or HRIT lead running the project.
  • Editor: the project manager and workstream leads who shape the plan.
  • Contributor: people in IT, Finance and Legal who update their own tasks, sign off gates and record test results.
  • Guest: the vendor's consultant or an outside tester.
